Bookkeeping & Administrative Associate
Jacobsen Salt Co. seeks a full-time (est. 30-35 hours/week) Bookkeeping and Administrative Associate to support our operations in Portland. This in-office position is responsible for ensuring that all daily financial data is recorded accurately and thoroughly, and that the JSC Portland HQ office is kept supplied and organized. The Bookkeeping and Administrative Associate role requires an organized, methodical individual with a high level of integrity and adaptability.
Primary functions include:
Accounts Receivable:
- Receive and post invoice payments
- Import, verify and post Point of Sale and Online (DTC) sales receipts
- Make regular deposits, including occasional cash handling
- Process credit card payments for customers
- Update and maintain customer payment profiles, including any changes to terms, payment methods, and payment platforms
- Uphold all company customer service standards and work alongside Order Processing to ensure customer satisfaction
Accounts Payable:
- Post and pay bills on time, process payment runs, properly review and code expenses
- Review business utility and service accounts to ensure amounts paid reflect goods and services received
- Process employee expense reports
- Reconcile bills with inventory items, working interdepartmentally to solve for inconsistencies, including with Procurement Specialist and Inventory & Warehousing Manager regarding purchase orders as related to payables
- Answer queries and maintain proactive and positive communication with suppliers, contractors and teammates about payments made, to request statements, etc.
- Create and update vendor profiles, including maintaining current W-9 information
Other Accounting:
- Track and support timely adherence (across departments) to monthly close calendar
- Contribute to preparation of bank reconciliations, as well as financial statements and reports, among other regular period-end closing responsibilities
- Maintain accurate and organized filing system for all company financial, customer, vendor, and tax documents
- Work alongside and support Finance and CPA to ensure timely and accurate tax filings
- Post journal entries as needed
- Order office supplies and staff snacks
- Assist with organizing and executing team events and initiatives
- Implement and uphold company best practices, controls, and processes
- Work cross-functionally with all departments to evolve systems and business practices
- Perform additional duties as needed
The ideal candidate is:
- A high school graduate (or has a commensurate degree/certifications); 3-5 years bookkeeping experience or an advanced degree/continuing education in Accounting or Finance preferred
- Comfortable completing intermediate tasks on a computer, including navigating word processing, spreadsheets, and familiarity with Google Suite; experience working in Quickbooks Enterprise, Shopify, Connex, Expensify is preferred
- An extremely flexible and collaborative team player; confident working independently and under direct supervision
- Adaptable in a lean and evolving high-growth business
- An adept multitasker with strong organizational skills
- Able to troubleshoot and problem-solve in a positive manner
- Someone with excellent time management skills, who can maintain a high level of accuracy in a small business environment

- Confident and articulate in all forms of communication, including verbal and written
Essential physical functions:
- Must be able to stay in a stationary position (sitting or standing) at least 90% of the workday while consistently operating a computer
- May be required to occasionally lift up to 20 pounds
Typical weekly schedule:
- Shift Hours: Flexible within business hours of operation
- Shift Length: 6-7 hours
- Monday - Friday
- This full-time, non-exempt position works out of Jacobsen’s headquarters in NE Portland, Oregon.
Reports to:
- Chief of Staff
Starting wage range is $21.00-23.00/hour based on experience, education, and qualifications. Benefits include paid time off and paid company holidays, as well as eligibility for health/dental/vision benefits after 60 days and 401(k) after one year.
